Your team spends an afternoon filming a Reel. The lighting looks good, the treatment room is ready and people begin sending messages. Then the owner asks how many enquiries reached reception. The answer is less clear than the view count.

Some people wrote only ‘price?’. Others sent a post with ‘this one’. The person managing Instagram replied where they could, but did not know the branch availability. Reception did not know which service the video showed.

Instagram DM automation is useful when it helps your team turn a short, context-heavy message into a clear enquiry—not when it simply sends a longer greeting. For beauty centres, the challenge is connecting the content that caught someone's attention to the information they need before deciding to visit.

The customer saw one service. Your reply offers twenty.

A customer who asks ‘How much is this?’ may be referring to one specific video. Sending the entire treatment menu gives them another task: work out which item matches what they watched.

Before writing a persuasive reply, establish what ‘this’ means. If your team can reliably identify the service, answer that question directly using current approved information. If the context is missing, ask one small clarifying question instead of guessing.

For example: ‘Are you asking about the facial shown in the video, or the consultation mentioned in the caption?’ That is more useful than collecting a phone number before identifying the request.

Do not assume an AI assistant can inspect every shared Reel, image or caption. A connected messaging channel does not by itself prove that all media content is available to the assistant or understood correctly. Ask what the proposed setup can actually receive.

A short DM is not necessarily a low-quality enquiry

Follow one enquiry from the post to reception

A customer shares a beauty-centre post and writes: ‘Is this at your PJ outlet?’ The person handling the message can identify the advertised consultation and has approved confirmation that it is offered there.

A useful answer is: ‘Yes, the consultation shown is offered at PJ. Are you checking the location, or would you like reception to check a day for you?’ The reply answers first and gives the customer room to choose.

The customer says: ‘Next Wednesday after work.’ The next action is an availability request, not a booking confirmation. Reception should receive the consultation being discussed, PJ as the outlet and Wednesday evening as the preference.

The employee can then return with a checked answer. If the social media person sends only a username and ‘interested customer’, reception has to reconstruct the enquiry. The content campaign has created attention, but the business has not yet made that attention easy to act on.

Who owns the reply after the social media team finishes?

Creating content and confirming service details are different jobs. A marketing employee may know exactly which Reel the customer means but not whether the requested outlet can help. Reception may know the schedule without recognising the campaign.

For the owner, the important question is whether the customer still has a clear path to an answer. If a message is passed to reception, somebody needs to continue it. A screenshot sent to a colleague is not proof that the customer received help.

Keep the question and the answer owed together. ‘PJ consultation, Wednesday evening requested, availability still unchecked’ tells the next employee more than ‘hot lead’. Do not replace the customer's stated preference with an assumption about what they will buy.

Know the difference between a DM and permission to message anyone

Instagram messaging automation has account and platform requirements. Meta's Instagram Send API documentation describes messaging for professional accounts and requires the recipient to have messaged the account for the standard sending flow it documents. It also notes that inbox behaviour differs when using the API.

That is not a promise that a service can privately contact every follower or everyone who comments. Comment-related private replies, story interactions and ordinary incoming DMs are different requirements; ask which are supported in your specific proposal.

Before choosing automation, have the provider confirm the account connection, permissions, supported message types and applicable reply restrictions. You do not need to manage the technical setup yourself to ask for a clear answer about its limits.

A missing message should also be investigated as an inbox or connection issue, not automatically treated as a customer who lost interest. Avoid promising that connecting a tool will recover every old conversation.

Do not make switching to WhatsApp the price of getting an answer

If a customer chooses Instagram, moving them to another app adds a step. Sometimes a different channel is appropriate, but explain why and offer a clear continuation rather than replying only with a phone number.
