Two chatbot quotations arrive in your inbox. One looks affordable. The other costs more but includes setup and ongoing help. Both say they can answer customer enquiries. Which one is actually the better purchase for your business?
For a spa or beauty-centre owner, the concern is not just paying too much. It is paying for a system and discovering that reception still has to rewrite answers, check every app and chase the same unfinished enquiries.
To compare AI chatbot pricing in Malaysia, compare the total cost over the same period, the work included and the work your staff will still do. A starting price alone does not tell you any of those things. This guide helps you read a quotation as a business owner, not as a software developer.
Start with the work you want to stop repeating
Write down the problem before looking at the price. ‘Reception answers the same service questions all day’ is different from ‘three outlets cannot tell who owes the customer a reply’. The first may need reliable FAQ assistance. The second also needs coordination and responsibility across teams.
If the proposal only supplies an automated greeting, neither problem is necessarily solved. A low price for the wrong scope is not a saving. Equally, a small business with manageable messages should not pay for complex branch routing simply because it appears in a larger package.

A quotation has more than one kind of cost
Separate the following items even if a provider bundles some together. You are not asking for a complicated spreadsheet; you are asking what is covered, when it is charged and what can change.
- Initial work: preparing approved answers, setting up enquiry flows, connecting the agreed channels and helping staff get started.
- Recurring service: software access, management or support, with a clear billing period and commitment.
- Usage: any charge linked to messages, conversations, AI use or another defined unit, including what happens above an allowance.
- Additional scope: extra outlets, users, channels, languages or external-system connections, where applicable.
- Ongoing changes: who updates service information and what support or revision work is included.
Ask for the same comparison period
A one-time setup price cannot be compared directly with a monthly subscription. Ask each provider for the cost over the same period, including any minimum commitment. If payment is annual, make that cash requirement visible even when a page displays a monthly equivalent.
A simple planning calculation is: initial charges + recurring charges for the period + estimated usage + agreed extras + applicable taxes. Keep items that are already included out of the calculation to avoid counting them twice.

The missing line may be your employee's time
Imagine a beauty centre whose receptionist can finally stop retyping opening hours, but now spends each morning correcting outdated package answers. The subscription is visible on the invoice. The correction work is not.
Ask who prepares and maintains the information, who reviews mistakes and who helps when a handover fails. Some owners want a self-managed tool; others need help maintaining the conversation. Neither arrangement is automatically wrong, but they should not be priced as if they were identical.

Do not infer a monthly, annual or one-time billing basis from the word ‘from’. Ask Reply.my to state the billing period, setup and recurring components, usage charges, applicable taxes and any additional connections in writing.
The most useful starting point is the enquiry you need handled, the channels involved and the staff receiving it. That gives the team something concrete to quote instead of asking you to choose a tier from a feature list alone.
Decide what would make the purchase worthwhile
Pick an observable business change: fewer repeated opening questions, fewer enquiries left waiting on the team or less time spent finding an earlier conversation. A larger message count is not, by itself, evidence of better service.
